The Role:
We are seeking a detail-oriented and proactive Office Management / Operations candidate to oversee the efficient functioning of our office operations. The ideal candidate will be highly organized, possess strong communication skills, and demonstrate the ability to multitask effectively. In this role, you will be responsible for managing administrative tasks, coordinating office activities, and ensuring a smooth workflow. Your role will be pivotal in maintaining a positive work environment and supporting the productivity of our team.
Responsibilities:
- Administrative Management: Handle day-to-day administrative tasks such as printing and managing correspondence, expense reporting, answering phones, checking messages, connecting calls and handling inquiries. Organize and maintain paper and electronic files, ensuring accuracy and accessibility.
- Office Operations: Oversee office operations and procedures for the Miami Office to ensure organizational effectiveness and efficiency. Implement and maintain office policies and procedures to streamline processes and enhance productivity. Maintain a clean and stocked kitchen and work with concierge service that assists with the grocery orders for the office. Communicate status with any on going projects etc. with Assistants located at our other offices
- Facilities Management: Coordinate office maintenance and repairs, including liaising with vendors and service providers. Manage office supplies and equipment inventory, ensuring adequate stock levels are maintained.
- Calendar and Travel Management: Manage executive calendars, schedule appointments, and coordinate travel arrangements as required. Anticipate scheduling conflicts and proactively resolve them to ensure smooth operations.
- Meeting Coordination: Schedule and coordinate meetings, conferences, appointments (ordering lunch/breakfast when needed or make restaurant reservations). Print documents, and presentations as necessary. Ensure meeting rooms are set up appropriately and all necessary resources are available. Provide all visitors’ name to security desk/portal for access to Raptor’s offices.
Qualifications:
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong communication skills, both verbal and written.
- Attention to detail and high level of accuracy in all tasks.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Demonstrated problem-solving skills and ability to work independently with minimal supervision.
- Flexibility and adaptability to thrive in a fast-paced, dynamic environment.
